Last updated 26 October 2026
This policy explains what personal data the organisers of the Gen AI Summit Hackathon (“we”, “us”) collect when you visit this site, apply to take part, or attend the event in Athens on 14–15 November 2026, and what we do with it. We follow the EU General Data Protection Regulation (GDPR) and Greek data protection law.
Who is responsible
The data controller is the organising team of the Gen AI Summit Hackathon (Abed Hamami and Ion Petropoulos). For anything about your data, email abedhamami42@gmail.com.
What we collect
- Application details you give us when you apply through Luma: your name, email address, and the answers you provide, such as your role, skills, experience, links to GitHub, LinkedIn, a personal site or past projects, and team preferences.
- Event details: your team, the project you build, your submission (repository, demo, video, slides), judging results and any prizes.
- Photos and video taken at the event and at the finals at SNFCC.
- Site usage: anonymous, cookie-free visit statistics (pages viewed, referrer, country, device type) through DataFast.
Your profile and engineering portfolio
Everyone who applies gets a profile and an account that they can use as an engineering portfolio. We create it for you from your application details, and it can show your name, role, skills, links, your team, the projects you build at the hackathon, and any results or awards. Your hackathon badge page (for example /badge/your-name) is part of this.
Profiles are meant to be shared, so they can be public and visible to other participants, partners, judges, recruiters and anyone with the link. We will not put your email address, phone number or private application answers on a public profile.
You stay in control: you can edit your profile, hide parts of it, make it private, or ask us to delete it and your account at any time by emailing abedhamami42@gmail.com. If you would rather not have a profile at all, tell us when you apply or at any point after, and we will not create one or will remove it.
How we use your data
- To review applications and select participants (places are limited).
- To run the event: badges, check-in, team formation, communication, judging and prizes.
- To create and host your profile, account and portfolio.
- To publish results and to promote the event and future editions, including photos.
- To introduce you to event partners for prizes, credits, mentoring or job opportunities, only where you have agreed to it.
- To keep the site working and secure, and to understand how it is used.
Legal basis
We process your data to take your application and run the event you signed up for (Art. 6(1)(b) GDPR); on our legitimate interest in running, promoting and improving the event and showcasing participants’ work (Art. 6(1)(f)); and, where we ask for it, on your consent (Art. 6(1)(a)), for example to share your details with partners. You can withdraw consent at any time.
Who we share it with
- Service providers that host or process data for us: Luma (registration), Vercel (site hosting), DataFast (analytics), and the tools we use to run profiles and accounts and to email you.
- Judges and mentors, who see your team and project to evaluate and help you.
- Event partners such as sponsors and prize providers, only what is needed to deliver prizes or credits, or more where you have agreed.
- GenAI Summit South East Europe, the parent conference, for finalists pitching at SNFCC.
We do not sell your personal data. Some providers may store data outside the EU; where they do, transfers rely on safeguards such as the EU Standard Contractual Clauses.
How long we keep it
We keep application data for unsuccessful applicants for up to 12 months after the event, so we can invite you to future editions. Profiles and accounts stay live until you ask us to delete them or we close the service, and we will give notice before closing it. Event photos and published results may be kept as part of the event’s archive.
Your rights
You can ask to access, correct, delete, or export your data, to restrict or object to how we use it, and to withdraw consent. Email abedhamami42@gmail.com and we will reply within one month. You can also complain to the Hellenic Data Protection Authority (dpa.gr).
Cookies
This site does not use advertising or tracking cookies. Our analytics are cookie-free. Luma and other linked services have their own policies.
Changes
We may update this policy. The date at the top shows the latest version, and we will tell applicants by email about any significant change.
